# Volunteering for an Event

If you are interested and have the required skills and bandwidth, you can volunteer for an event.

To volunteer for an event, you must:

  1. Create an account in the volunteering portal. This is a one-time activity. After you create an account, you are a registered member in the organization.
  2. Register for an event.

In this section you will also learn about how to:

  • Access your activity report.
  • Provide a testimonial and feedback for the event.
  • Share with us any volunteering ideas or opportunities.

# Register for an Event

# Procedure:

  1. Access the volunteer portal at https://volunteer.nirmaan.org
  2. Access the event in which you would like to volunteer for.
  3. Select Register button in the event card.

NOTE

Alternatively, you can open event details page and then click on REGISTER button that is shown in the Home section.


VOLUNTEERING GUIDELINES dialog window will appear now.

  1. Read the guidelines, and then select I AGREE.
    You are now a volunteer for the event. You can now access the event library, collaborate with remaining volunteers and the event coordinator, and volunteer for the event.

  2. If the event is a recurring event, select the dates for which you want to volunteer, and then select Register.

# Update Registration for an Event

For a recurring event, if you want to change the dates of the sessions for which you want to volunteer, you can update the registration for the event.

For a one-time or an any-time event, updating the registration is not allowed. You can, however, unregister from the event.

# Who Can Perform This Task?

  • Volunteers who have registered for the event

# Procedure:

  1. Access the volunteering portal https://volunteer.nirmaan.org
  2. For the event that you have registered, select Update Registration.
  3. Change the dates of the sessions for which you want to volunteer for the event, and then select Update Registration.
    The changes to the dates are saved.

NOTE

  1. You cannot clear all the dates. You must select at least one date.
  2. You cannot unregister for the dates that have already been passed irrespective of whether you have participated in it or not.
  3. Please contact Event Coordinator for the event before unregistering for a date(s). That will help the coordinator for planning and guiding you on next steps.

# Access Your Activity Report

Your activity report contains the following metrics:

  • Number of events for which you have registered.
  • Number of events for which you have volunteered.
  • Total number of stars that you have earned. For each hour of your voluntary service, you will earn five stars.
  • Total number of hours that you have spent in volunteering for events. This value is calculated based on your check-in time and check-out time for each event, which is captured by the event coordinator. The volunteering hours are added to your profile after the event is completed. In case of a recurring event, the hours are added after every session is committed.

# Procedure:

  1. Access the volunteering portal https://volunteer.nirmaan.org
  2. Go to My Activity section.
    Your activity report appears.
  3. If you want to download your entire volunteering report, select Download My Activity Report button.
    The report is generated as a PDF file and will be sent to your registered email address under 1 hour.

# Collaborate With Volunteers for an Event

After you register for an event, you can start collaborating with other volunteers register for the event. Use the Discussions section to share your thoughts, propose tasks, ask questions, support other volunteers concerns.

The following conditions apply when you post a comment in Discussions section:

  • Abide by the Terms and Conditions guidelines at all times.
  • Event Coordinator and Event Administrator reserves the right to remove any comments made by any volunteer.
  • You can delete your own comments at any point of time.
  • The content will be visible to everyone.
  • You can post as many comments as required.

  • All checked in volunteers for the event
  • Event coordinator
  • Event administrator

# Procedure:

  1. Access the event details page for which you want to work with.
  2. Select Discussions section.
  3. Add a comment.
  4. Select Post Comment.
    The Comment is submitted.

TIP

By default all the text in the comment text box will be treated as plain text. However, you can also post HTML code e.g. ul/li tags in the comment box for formatted output.

# Upload Documents for an Event

After you register for an event, you can upload any resources that will be helpful for the event e.g. manuals, README documents, images, event agenda and any guidelines. Use the Library section to share your these resources with other registered volunteers.

The following conditions apply when you post a document in Library section:

  • Abide by the Terms and Conditions guidelines at all times.
  • Event Coordinator and Event Administrator reserves the right to remove any resources uploaded by any volunteer.
  • You can remove your own resources at any point of time.
  • The documents content will be visible to everyone.
  • You can post as many documents as required.

# Who Can Perform This Task?

  • All checked in volunteers for the event
  • Event coordinator
  • Event administrator

# Procedure:

  1. Access the event details page for which you want to work with.
  2. Select Library section.
  3. Add a document by selecting a local document from your computer.
  4. Give a brief description on what is the document about.
  5. Select Upload.
    The document will be uploaded and a new card will be shown.

NOTE

Do not upload large audio and video files in Library section. We recommend to use audio/video sharing platforms like youtube/vimeo, etc and share the links in Discussions section for collaboration.

# Provide a Testimonial for an Event

After you volunteer for an event, you can provide a testimonial to describe how you liked the event.

The following conditions apply when you provide a testimonial:

  • You can provide a testimonial only after you are checked in for the event (that is, after the event coordinator checks you in for the event).
  • You can provide only one testimonial for an event.
  • The content will be visible to everyone.

  • All checked in volunteers for the event
  • Event coordinator
  • Event administrator

# Procedure:

  1. Access the event details page for which you want to provide testimonial.
  2. Select Testimonials section.
  3. Enter your testimonial.
  4. Select Post a Testimonial.
    The testimonial is submitted.

# Provide Feedback on an Event

After you volunteer for an event, you can provide feedback on what went well, what can be done better, and your overall experience.

The following conditions apply when you provide feedback:

  • You can provide feedback when the event is in 'ongoing', 'verified' or 'completed' state (that is, after the event coordinator checks you in for the event)
  • You can provide feedback anonymously as well if you would like to.
  • The feedback will be visible only to the event administrator and the event coordinator.
  • For a recurring event, you can provide feedback for each session of the event for which you have volunteered. You can't provide feedback on those sessions where you haven't been checked in.

# Procedure:

  1. Access the event details page for which you want to provide feedback.
  2. Select Feedback section.
  3. For One Time or an Any Time events, provide your feedback, and then select Submit Feedback. Select Submit Anonymously checkbox if you want to submit your feedback anonymously.
  4. For Recurring events:
    • Select the date of the session for which you want to provide feedback.
    • Provide your feedback, and then select Submit feedback.
    • Repeat the above two steps for each session that you want to provide feedback.
      The feedback is submitted.
