# Accessing Event Details

Every event in the portal has a separate home page to show and manage all its aspects. In this section we will detail about how to access the event details page.

# Before You Begin:

  • Sign in to your account if you are not already signed in.

# Procedure

  1. Open the volunteering portal at https://v-hub-frontend-stg.firebaseapp.com
  2. Navigate to the event card that you want to know more about.
  3. Click on Open Event button at the bottom of the Event Card in Grid View or click on Event Title in Table View.
  4. The event home page will be opened in the same tab which shows all the details of the event.

TIP

You can also click on title on any Event Card to open the event details page.

  1. Event Home page has five additional pages to work with
    • Home
      Shows basic information about the event.
    • Discussions
      The place where all volunteers can discuss about the event.
    • Volunteers
      Shows the list of all the volunteers registered for the event.
    • Library
      Shows the list of resources like images, documents related to the event.
    • Testimonials
      Shows the list of all testimonials submitted by volunteers.
    • Feedback
      Shows the feedback submitted by volunteers.

NOTE

  • Only the registered volunteers for an event are eligible to view/add/modify event related data e.g. add comments, testimonials, feedback or upload documents
  • Both the Testimonials and Feedback sections are visible for only checked in volunteers. For others these sections are not available.

# Home

Home page shows the following details regarding the event

  • ID
  • Banner
  • Category
  • Status
  • Start Date and End Date
  • Start Time and End Time where applicable
  • Volunteering Partner where applicable
  • Registration Message
    • A brief message will be displayed showing a reason why a volunteer can't register for an event. This will help volunteers understand why they can't participate in a event.
  • Description
  • Agenda
  • Venue/Meeting Details
  • Event Coordinator Details
  • Event Administrator Details
  • Partner Organization Details e.g. Volunteering Partner and/or Implementation Partner
  • Notes on beneficiaries
    • This will help volunteers understand the scope and objectives of the event and thus helps in executing the program in a better manner.
  • Prerequisite information or planning that is necessary from volunteers to attend the event

NOTE

  1. Event Administrator Details will be shown only to the event coordinator for the event.
  2. Event dates and times are shown differently for different event types

# Discussions

Discussions page shows all the conversations made by all the volunteers registered for the event. You can use this section to ask your questions and share your suggestions and help other volunteers to contribute to the event objectives in a better manner. Additionally, this page shows history of significant events.

# Volunteers

Volunteers page shows all the registered volunteers for the event.

Registered Volunteers will be able to view only the following fields in the table

  • Volunteer ID
  • Volunteer Name

Whereas Event Coordinator and Event Administrator for that event and all Portal Administrators will be able to see the below fields in addition to the above.

  • Organization Name
  • Registration Status
  • Volunteering Hours
  • Email Address
  • Mobile Number
  • Action buttons depending on registration status

This will help the event management team to coordinate with all volunteers and track their volunteering hours.

# Library

Library page shows the list of all documents, images and other resources uploaded by volunteers.

WARNING

All the documents listed here are publicly visible. So it is important that you do not upload sensitive and confidential information here.

# Testimonials

Testimonials page shows the list of testimonials shared by registered volunteers. All volunteers can submit atmost one testimonial per event.

# Submit Feedback

Submit Feedback page shows a form to submit feedback or a message that you have already submitted. All volunteers can submit atmost one feedback per event. However, for recurring events volunteers can submit one feedback for each session of the event.

This form contains the following fields that can be used to submit a feedback

  • Event Rating
  • Things that worked well
  • Things that need improvement
  • A checkbox to submit feedback anonymously

# Feedback Summary

Feedback Summary page is accessible for only Event Coordinator, Event Administrator and Portal Administrators. This section shows cumulative event rating and the list of all feedback submitted by all volunteers.

For recurring events in addition to cumulative event rating the page also shows event rating for each session.
