# Managing Beneficiaries

Beneficiaries are the group of people who are directly benefitted by organizing volunteering events based around the needs of them. Using the volunteering portal, you can access the list of beneficiaries, create a beneficiary, and modify the details of a beneficiary.

It is important to create right set of beneficiaries to represent target group of people who are about to benefit. Appropriate names could be a School Name, Name of an Orphanage, a Govt Department, etc.

TIP

As a special case, a beneficiary can be a single person as well. This case is suited to working with interns who are volunteers and beneficiaries as well.

# Create a Beneficiary

Choosing the right beneficiary is very important to meet the objectives of an event. Creating a right beneficiary is also a critical step to successfully complete an event. As a portal administrator or event administrator when enabled should plan ahead and create appropriate set of beneficiary organizations following due process and onboard them.

# Who Can Perform This Task?

  • Event Administrator (if enabled)
  • Portal Administrator

# Procedure:

  1. Access the volunteering portal at https://v-hub-frontend-stg.firebaseapp.com
  2. Open Sidebar.
  3. Select Beneficiaries menu item.
  4. Select CREATE NEW BENEFICIARY button.
  5. The CREATE BENEFICIARY page will appear.
  6. Provide values in the available fields as described in the following table. The fields marked * are mandatory.
Field Description
Name * Enter the name of the beneficiary.
Description Enter a description of the beneficiary.
Address * Enter the address of the beneficiary organization's office.
Map URL * Enter the map url of the beneficiary organization's office.
Website Enter the website of the beneficiary organization if available.
Select a category Select the event category typically associated with this beneficiary.
Contact Person * Enter the name of the contact person from the beneficiary organization.
Email Address Enter the email address of the contact person.
Mobile * Enter the phone number of the contact person.
Role / Occupation * Enter the role of the contact person at the organization.
  1. Select CREATE.
  2. The beneficiary is created.

# List Beneficiaries

It is sometimes useful to download the list of beneficiaries into spreadsheet for offline management.

# Who Can Perform This Task?

  • Event Coordinator
  • Event administrator
  • Portal administrator

# Procedure:

  1. Access the volunteering portal at https://v-hub-frontend-stg.firebaseapp.com
  2. Open Sidebar.
  3. Select Beneficiaries menu item.
  4. The list of beneficiaries registered in the portal appears.
  5. If needed, select Download Beneficiaries List button.
  6. A spreadsheet will be prepared and will appear as downloadable file in your browser.

# Modify a Beneficiary

# Who Can Perform This Task?

  • Event Administrator (if enabled)
  • Portal administrator

# Procedure:

  1. Access the volunteering portal at https://v-hub-frontend-stg.firebaseapp.com
  2. Open Sidebar.
  3. Select Beneficiaries menu item.
  4. For the beneficiary that you want to modify, select EDIT.
  5. The UPDATE BENEFICIARY page appears.
  6. Modify values in the available fields as described in the following table. The fields marked * are mandatory.
Field Description
Name * Enter the name of the beneficiary.
Description Enter a description of the beneficiary.
Address * Enter the address of the beneficiary organization's office.
Map URL * Enter the map url of the beneficiary organization's office.
Website Enter the website of the beneficiary organization if available.
Select a category Select the event category typically associated with this beneficiary.
Contact Person * Enter the name of the contact person from the beneficiary organization.
Email Address Enter the email address of the contact person.
Mobile * Enter the phone number of the contact person.
Role / Occupation * Enter the role of the contact person at the organization.
  1. Select SAVE.
  2. The changes made to the beneficiary are saved.

# Suspend a Beneficiary

There may be a case where we do not wish to further associate with an beneficiary after onboarding them. However, we also can't delete them from the portal because they are linked to events and can cause problems while viewing past events and generating reports. In such cases, we recommend to suspend an beneficiary after due diligence.

A Beneficiary once suspended will not be available for selection during event creation. Also, one can't modify a suspended beneficiary any further until revoked.

  • Portal Administrator

# Procedure:

  1. Access the volunteering portal at https://v-hub-frontend-stg.firebaseapp.com
  2. Open Sidebar.
  3. Select Beneficiary menu item.
  4. Find the beneficiary that you want to suspend and open its details page.
  5. To suspend this beneficiary, select SUSPEND.
  6. Click on confirmation dialog and select SUBMIT.
  7. The beneficiary is suspended.
  8. You will now see the status of the beneficiary as Suspended in the details page.

# Revoke a Beneficiary

A Beneficiary can be revoked after suspended if chosen to do so. It will make the beneficiary active once again.

# Who Can Perform This Task?

  • Portal Administrator

# Procedure:

  1. Access the volunteering portal at https://v-hub-frontend-stg.firebaseapp.com
  2. Open Sidebar.
  3. Select Beneficiary menu item.
  4. Find the Beneficiary that you want to suspend and open its details page.
  5. To revoke this beneficiary, select REVOKE.
  6. Click on confirmation dialog and select SUBMIT.
  7. The beneficiary is revoked.
  8. You will now see the status of the beneficiary as Active in the details page.
